Edition #4 | Clarity with Kindness Newsletter
Kia ora, and happy Monday morning.
I love to fly. Well, I’d better, seeing as I am an English person living in New Zealand! But even the most seasoned traveller knows the feeling of hitting severe turbulence mid-flight. You cannot see the air currents outside your window, but you certainly feel the cabin shaking, the drink cart rattling, and every passenger holding their breath.
That is exactly what running a work-from-home or hybrid team without clear rules feels like. The turbulence is there, but because everyone is sitting in their own living room, leadership cannot see the flight path clearly.
When that operational turbulence hits (projects slow down, steps get missed, or messages get mixed up), what is your immediate reaction?
For many leaders, the default reflex is to grab quick fixes: requiring cameras on for every call, adding extra daily check-in meetings, or setting up mandatory virtual drinks on Friday afternoons. That is the management equivalent of handing out sick bags instead of fixing the flight path.
Let’s cut through the noise: Workplace culture isn't forced virtual drinks. Culture is simply the sum of your daily habits, clear boundaries, and shared expectations.
In a physical office, bad habits are easily hidden because everyone is in the same room. You can walk down the hall, tap someone on the shoulder, and clear up confusion over a cup of tea. But when people work from home, those underlying process flaws are exposed instantly. The financial cost of that confusion is massive. Global data shows clear confusion drains trillions every year. For a New Zealand business with a $10M payroll, hidden confusion and poor setup waste roughly $1.8M NZD every single year through lost hours, repeated work, and slow execution.
Leaving your team guessing and then blaming them when they miss the mark isn't leadership. Kindness is Clarity. Real kindness is giving your team clear instructions, explicit boundaries, and the freedom to get on with the job, without the sick bag.
3 Clear Steps You Can Take Today
1.Write Down Simple Communication Rules: Stop the guessing game. State clearly which tools to use and when. For example: use email for formal updates, chat apps for quick daily questions, and phone calls only for urgent issues.
2.Read Before You Meet: Before setting up a meeting to discuss a big decision, have the project lead write a short 1-page summary of the problem and potential solutions. Have everyone read and comment on it before meeting. It forces clear thinking up front and respects everyone’s time.
3.Do Stay Interviews: Run regular stay interviews instead of waiting for exit interviews to find out your team setup is failing. Ask your team regularly about daily frustrations, workload balance, and clear directions so you can fix small problems before they turn into expensive ones.
